Connect Directly to QuickBooks Desktop
The guide explains how to connect directly to QuickBooks Desktop (2013 or newer) by obtaining the company file and Admin password, configuring data collection options including time frame and accounting basis, selecting accounting data to include, and then downloading and installing the Crunchafi (Strongbox) Connect tool to establish the connection and share financial reports.
Connect Directly to QuickBooks Desktop
Connect directly to QuickBooks Desktop files that have been shared by the target company.
Requirements
- Access to QuickBooks Desktop 2013 or newer (any version: Enterprise, Premier, Pro, Accounting, etc.)
- The target client must provide a copy of their QuickBooks Desktop company file (any file type that can be opened in your QuickBooks).
- The password for the Admin account (required to approve the connection with Strongbox).
Create Data Collection
There are three windows to move through to create your data collection:
- 1.
Configure Data Collection Options
- Select the radio button to "Connect directly."
- Click the Next button to proceed to select the time frame for data collection.
- 2.
Select Time Frame and Accounting Basis
- Choose the month of the current fiscal year.
- You can gather data through that month for FYTD or select up to five additional years of data.
- Choose your preferred basis of accounting at this step.
- 3.
Select Accounting Data to Include
- Choose the accounting data to include in the data collection.
- Note: Selecting "Transactions" may result in a large data collection and could slow down workbook generation.
- Click Next to proceed to selecting your accounting system.
Select Your Accounting System
To share your financial reports from QuickBooks Desktop, click the QuickBooks Desktop button.
Confirm Connection Choice
Click the Connect button to launch the Connect to QuickBooks Desktop guide.
Connect to QuickBooks Desktop
A new window will open with three steps to complete the connection:
- 1.
Download & Install Crunchafi (Strongbox) Connect
- Crunchafi (Strongbox) Connect only needs to be installed once. If an upgrade is available, you'll be notified.
- Download the install file using the Get Strongbox Connect button.
- If QuickBooks is open, close it before opening the install file.
- Find and open the downloaded file to install the latest version of Strongbox Connect.

Open Your QuickBooks Company File as the Admin User
- After installing Crunchafi (Strongbox) Connect, open your QuickBooks company file.
- You must log in as the Admin user to approve access for Crunchafi (Strongbox) Connect.
- 3.
Grant Access to Crunchafi (Strongbox) Connect
- The first time you open a QuickBooks file as the Admin user, QuickBooks will prompt you to grant access to Crunchafi (Strongbox) Connect.
- If you do not see the QuickBooks - Application Certificate window, confirm you are logged in as an Admin user.
- Select Yes, whenever this QuickBooks company file is open.
- Select the checkbox Allow this application to access personal data such as social security numbers and customer credit card information.
- Note: Social security numbers and credit card numbers are NOT collected. This setting allows sharing high-level payroll information with Crunchafi Data Extraction.
- On the Access Confirmation dialog box, click Done.
- Choose Continue to confirm your choice.
- 4.
Share with Crunchafi Data Extraction
- After approving permissions, keep the QuickBooks file open and return to the instructions window.
- Press the Connect to Crunchafi (Strongbox) button.
Collecting the Financial Reports
When the connection starts, a progress meter will appear in the lower-right of your screen.
On the Crunchafi Data Extraction Portal Workspace list, you'll also see an indication of an import in progress.
Completion
When the Data Collection is complete, the portal will update with a success message, including a link to the collection where you can download the completed workbook.
